Job Overview:

As an operations assistant, you will play a crucial role in supporting the day-to-day operations of our company. You will work closely with various teams to ensure smooth coordination and execution of tasks, contributing to the overall efficiency and success of our operations. The ideal candidate is highly organized, adaptable, and possesses strong communication skills.

Key Responsibilities:

Administrative Support: Provide administrative assistance to the operations team, including but not limited to scheduling meetings, managing calendars, and handling correspondence.

Data Entry and Management: Accurately input and maintain data in company databases and systems. Ensure data integrity and confidentiality at all times.

Document Handling: Assist in the creation, distribution, and filing of documents such as reports, memos, and presentations. Maintain organized electronic and physical filing systems.

Coordination: Coordinate with internal teams and external... stakeholders to facilitate seamless communication and collaboration. Schedule appointments, conference calls, and travel arrangements as needed.

Inventory Management: Assist in monitoring and managing inventory levels, including ordering supplies and tracking shipments. Conduct periodic inventory checks and reconcile discrepancies.

Process Improvement: Identify opportunities for process optimization and efficiency improvements within the operations department. Make recommendations and assist in implementing changes.

Quality Assurance: Support quality assurance efforts by participating in audits, inspections, and compliance reviews. Ensure adherence to company policies and procedures.

Problem Solving: Address operational issues and concerns in a timely and effective manner. Collaborate with team members to develop solutions and prevent recurrence of problems.

Reporting: Generate regular reports on key performance metrics and operational activities. Analyze data and present findings to management to support decision-making.

Other Duties: Perform other duties and responsibilities as assigned by management to support the overall objectives of the company.

Qualifications:
• High school diploma or equivalent; Associate’s or Bachelor’s degree preferred.
• Proven experience in an administrative or operations support role.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
• Excellent organizational skills with strong attention to detail.
• Effective communication and interpersonal abilities.
• Ability to multitask and prioritize tasks in a fast-paced environment.
• Problem-solving skills with a proactive and positive attitude.
• Knowledge of basic accounting principles and inventory management concepts is a plus.
• Familiarity with project management tools and techniques is desirable
