Office Manager/Secretary : Salary: Competitive- Location: Madrid- Contract Type: Permanent The Vacancy Responsibilities Duties will include : Meeting and greeting visitors and clients. Setting up meetings, seminars and client appointments. Managing meeting rooms - including provision of refreshments if required. Overseeing incoming and outgoing post. Managing office equipment and inventory, including stationary orders. Organising maintenance for office equipment and machinery, with assistance from Facilities. Enforcing office protocols. Minimising office expenditure. Health and safety inspections - training will be provided. Liaising with maintenance contractors/cleaners/landlord, with assistance from Facilities. Producing accurate reports, letters and other documents in accordance with Hollis standard formats, meeting any agreed deadlines. Accurate and up to date filing of correspondence and other documentation. Providing dedicated secretarial and administration support to fee... earners including minute taking. Liaising with other operational departments such as BD, HR, BT&T, Finance, A&C. Adhoc translation of documents. Planning, monitoring and control of own workload. Managing own and fee earners diaries efficiently. Processing expense claims and travel arrangements for fee earners. Operating a variety of standard office equipment, including photocopier, telephone, binding machines and CD burning equipment. Other ad-hoc secretarial and administration responsibilities. Working within a team and assisting other members of the business support team to ensure efficiency of the department is kept to a maximum. Requirements : Experience with diary and inbox management Accurate typing speeds, minimum 50-55 wpm Experience of working with Microsoft Outlook and Teams would be an advantage but not essential At least 1 year experience within a similar role Good written and verbal communication skills and the ability to interact well with clients, all levels of staff and other external contacts are essential A professional and can-do attitude Self-motivation, flexibility and the ability to prioritise, multi-task and meet deadlines. Excellent organisational abilities and a good eye for detail Languages - must be fluent in Spanish and English, other European languages also desirable (German/Dutch/French).
