Position Summary

Reporting to the Manager of Professional Development, the Event Planner is responsible for the planning and administration of meetings and in-person events as required and per CBA policies and procedures. A high level of interaction with the general public, CBA members, and staff is required. Must be self-motivated with the ability to multi-task, perform with minimal supervision, and have sound judgment. The candidate must be detail-oriented, highly organized, and comfortable with technology.

Languages

The CBA delivers services in both of Canada’s official languages. Fluent bilingual skills, both written and oral, are an asset.

Annual Salary

$ 71,582.94 per year ($40.79/hour)

Responsibilities
• Plans and executes all program and meeting logistics, and all post-program deliverables.
• Liaises with and maintains relationships with venues, vendors, and suppliers.
• Reviews and revises event contracts and obtains... the necessary approvals for execution.
• Provides liaison and administrative support to volunteer speakers, program chairs, and sponsors.
• Attends onsite meetings and in-person events as required.
• Participates in the registration process.
• Creates event work plans for each event.
• Creates event day run sheets for each event.
• Responds to telephone and email inquiries.
• Prepares and maintains accreditation records.
• Provides feedback and reports to stakeholders as required.
• Drafts, monitors, and manages in-person event budgets.
• Reviews invoices and expense claims for accuracy and follows-up on outstanding accounts.
• Other related duties as assigned.

Qualifications

Education
• University degree or college diploma.
• Certification in event management is an asset.

Experience
• 5 years’ experience in meeting planning.
• Experience working in the non-profit sector/professional association (preferred).
• Experience with the following technologies is an asset: iMIS, EMD, Kentico, Adobe Pro, Photoshop, Survey Monkey, Type form, Poll Everywhere, Zoom, Teams, SharePoint.

Skills And Abilities
• Advanced computer skills (MS Word, Excel, PowerPoint, Acrobat).
• Ability to learn and comfortably work with new and evolving technology.
• Advanced communications and people skills.
• Attention to detail.
• Good judgment.
• Strong planning and organizational skills.
• Knowledge of effective marketing and/or communications strategies would be considered an asset.
• Demonstrated ability to think creatively, out of the box with consideration of budgeting restraints, from concept through to execution in planning projects.
• Ability to work with minimal supervision, to work effectively and efficiently under pressure, and to organize and set priorities.
• Demonstrated ability to multi-task and work flexibly within the parameters of the project.
• Demonstrated ability to work independently and manage projects from beginning to end.
• Works well in a team environment.
• Available to work weekends and evenings, and travel if required.
