Purpose of the Position:

The Administration Assistant will play a crucial role in the successful implementation of Search’s RNT project, which aims to support civil society and media organizations in Afghanistan. Their responsibilities will span across various aspects of the project, including planning, implementation, monitoring, and reporting. To accomplish this, the Admin Assistant will work closely with multiple departments such as Finance, P&C, and Procurement. Additionally, they will facilitate and support different events like meetings, workshops, and trainings in targeted provinces.

Essential Duties and Responsibilities
• Responsibilities
• Ensuring timely delivery of activities as per the Scope of Work.
• Support in managing the entire lifecycle of grants from start-up to close-out.
• Assist the program implementation based on work plans.
• Serving as a link between the organization and local partners for activity management and reporting.
• Drafting monthly narrative... reports and program updates.
• Participating in regular meetings with project stakeholders for updates and clarification.
Specific duties:
• Create and maintain a hard and soft filing system for specific programs.
• Develop and maintain contact lists pertaining to specific programs.
• Maintain records of meetings and events.
• Draft information material related to specific programs.
• Translate and interpret when necessary.
• Transcription of the meetings, events, and research being held for the project.
• Take part in core Search Afghanistan activities as needed.
• Carry out any tasks that the line managers assign.
• Preparing/reviewing receipts, vouchers, fund transferred vouchers, and fund receipt vouchers, and filing them properly based on the system.
• Managing all expenses and proper checking & verifying of documents.
• Participates in month-end closing activities including journal entries and other analysis
• Maintains accounting/finance departmental files and desktop procedures and processes documents for areas of responsibility.
• Update financial spreadsheets with daily transactions.
• Other duties that are broadly in line with the above key contributions as assigned
Logistics and Security:
• Manage office utility services including communications, water, and electricity.
• Keep the hard copies of any bills for clearance purposes.
• Provide assistance to members of staff and visitors, including travel arrangements, meet and greet visitors and field staff.
• Ensure that property and assets are properly tagged
• Keep a record of vendors and service providers including hotels and transportation
• Maintain an updated Search staff contact list and security notification tree and test the tree regularly
• Provides administrative support to ensure efficient office operations.
• Maintains physical and digital filing systems specific to Administration.
• Drafts and edits letters, reports, and other correspondence.
• Plan, organize, and schedule Search’s meetings in the office, off-site, and via videoconference.
• Prepares meeting agendas and takes meeting minutes.
• Coordinates logistics for meetings, including room setup and catering.
• Operates and maintains office equipment.
• Works closely with other administrative staff and supports other colleagues as needed.
• Works with sensitive information with discretion to maintain confidentiality and security and ensure compliance with privacy policies and regulations.
• Presents a positive and professional image for the organization.
• Supervise support staff in competently performing their duties and responsibilities.

Safeguarding: Remain alert and responsive to any child safeguarding risks, acquire relevant knowledge and skills that will enable you to promote strong safeguarding practices, understand the child safeguarding policy and procedures, and conduct yourself consistent with the Child Safeguarding Policy.

Skills & Competencies
• Education
• A degree from a recognized university
• Two years of experience in a professional setting.
• Experience of work with international/national NGOs preferred.
Skills and Competencies
• Interest in the peacebuilding, and development fields.
• Able to work under pressure and keen to learn from others.
• Excellent written and oral Dari and Pashto communication skills.
• Able to communicate in English (in written and orally) at a high level.
• Excellent computer skills including Ms. Office (Word, Excel, and PowerPoint) and Windows.
• Excellent time management skills.

$400 - $400 a month
