The Administrative Assistant provide support to managers, other employees, and office visitors by providing polite and professional assistance while handling a variety of tasks in order to ensure that all interactions between the organization and others are positive and productive. Enhances company's effectiveness by providing personalized support and information management in a well-organized and timely manner and contributes to team effort by accomplishing related results as needed. You will work in conjunction with the Operations Manager on a one-to-one basis on a variety of tasks related to Company operation, Executives working life and communication.

Your duties and responsibilities will include but not be limited to:
• Greet, service, assist visitors and directing inquiries.
• Maintain polite and professional communication via phone, e-mail, and mail.
• Screening phone calls and routing callers to the appropriate party.
•... Handling office tasks, such as filing, generating reports and presentations, setting up for meetings, and reordering supplies.
• Preparing and editing correspondence, reports, and presentations
• Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies.
• Ensures operation of equipment by completing preventive maintenance requirements; following manufacturer's instructions; troubleshooting malfunctions; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques.
• Providing real-time scheduling support by booking appointments and preventing conflicts.
• Assist on planning and scheduling meetings, appointments and events.
• Making travel and guests arrangements, such as booking flights, cars, and making hotel and restaurant reservations.
• Using computers to generate reports, transcribe minutes from meetings, create presentations, and conduct research.
• Develop, maintain and carry out an efficient documentation and filing system and records
• Secures information by completing data base backups.
• Maintains customer confidence and protects operations by keeping information confidential.
• Anticipate the needs of others in order to ensure their seamless and positive experience.
• Assist in coordinating service providers to ensure A+ office quality
• Assist managing the day-to-day operations of the office.

• Associate’s degree in related field with prior administrative experience
• Microsoft Suite knowledge, computer skills
• Full comprehension of office management systems and procedures
• Ability to multitask and prioritize daily workload
• Communication skills, verbal, written and reporting skills
• Detail oriented
• Desire to be proactive and create a positive experience for others.
