We are extremely proud to be partnering with one of Australia’s most dedicated and purpose driven charitable and not-for-profit organisations for the recruitment of Administration Officer.

This office-based role is located in South Brisbane with close proximity to public transport and reports directly to a dynamic Executive Assistant to the CEO.

As the Administration Officer, you pride yourself in operational excellence as you will be entrusted with delivering impeccable administrative services in your designated department. Operating within established guidelines, your role encompasses a wide range of administrative duties, including project assistance for senior executives and managerial support for administrative staff... and volunteers.

Your mandate is to uphold corporate standards and contribute to the seamless functioning of business operations.

More Specifically, The Responsibilities Cover The Following Key Accountabilities

• Manage the operations of the administration department as part of a small team of 4, including responsibility for outcomes, deliverables, and effective delegation.
• Provide crucial financial support, including processing invoices, credit card management, financial reconciliations, and maintaining accurate records, ensuring financial transparency and accountability.
• Ensure the accuracy and compliance of databases, contributing to efficient data management within the organisation.
• Provide general administrative services, including filing, scanning, photocopying, supply stock management, travel arrangements, vehicle management, and building/site maintenance and security.
• Assist with administrative meeting and organisation support tasks, such as room bookings, calendar management, and meeting minutes.
• Undertake project work to support the Administration team and broader department/area of operation, contributing to the achievement of organisational goals.
• Offer support to the Executive Leadership team and the Executive Assistant to the CEO, handling various ad hoc tasks with discretion and confidentiality.
• Support a culture of safety, operational excellence, and continuous improvement. Comply with WHS duties, behavioural expectations, and organisational policies and procedures.

• Proactive and independent individual with a strong initiative, demonstrating the ability to take charge and make decisions.
• Be an efficient and personable team player motivated by meaningful and impactful work, eager to contribute to mission of the business.
• Must possess a calm and considered demeanour, adaptability to varied tasks and leadership styles, and an ability to work well under pressure while taking direction effectively.
• Certificate III in Business Administration or equivalent professional experience.
• Proven experience in a high-volume administration support role.
• Proficiency in Microsoft Office suite, with intermediate skills in Word, Outlook, and Excel
• Exemplary phone etiquette and a professional demeanour.
• Ability to collaborate effectively with a diverse range of key stakeholders.
• Inherent attention to detail and commitment to data accuracy.
• Advanced time management skills including the ability to multi-task.
• Must be a team player capable of working both independently and within a team.
• Demonstrated stakeholder relationship experience.
• Must be a great communicator and a lateral thinker (ability to see 2 steps ahead).
• Be accountable and follow through with what you promise.
• Have a collaborative and systematic approach to daily tasks.
• Have full working rights in Australia.
