Office Assistant - Vietnam Ho Chi Minh City In this role, you will support our Global Office Operations Manager and Director of Technical delivery in our Ho Chi Minh City office. This role is a fixed term role for 6 months.
We are looking for a very resourceful and reliable Office Assistant to help manage our office and the employee experience. Reporting to the Global Office Operations Manager, the ideal candidate will be someone who is versatile, and eager to take on a wide variety of tasks ranging from receptionist duties, event management, HR-related assignments, catering - all with a professional demeanour and a customer service attitude.
As our Office Assistant, youll help create a suitable and enjoyable working environment for all of our employees. You are responsible for managing vendors and contractors related to the office environment, (food, cleaning, maintenance, etc.). You will aim to help increase the productivity of the team and help with any emergencies that may appear.
Key objectives and responsibilities... include: Reception Be available to answer & direct calls, greet and direct visitors and vendors, receive deliveries and catering. Assist with scheduling. Physical Workspace We want the Office Assistant to have a sense of ownership and pride in our physical workspace. The Office Assistant is responsible for general upkeep, cleanliness, and supply management of the office. Employee Experience Bring a creative and fun element to our office by organizing events and making enhancements to our workspace. Make new employees feel welcome; organize new hire packs, prepare workspaces. Decorate office for events throughout the year. Vendor Management Work with a variety of food vendors to make sure our kitchen is stocked and food is ordered for lunches and various meetings. Travel Management Book and manage travel for staff in our Brisbane & Sydney offices. Special Projects Manage ad-hoc special projects.
Desired Skills and Experience: Good communication skills with proficiency in English Experience as an Office Assistant, Receptionist, or Operations Assistant in a fast-paced, demanding environment Discretion, confidence, intelligence, and a great sense of humour Entrepreneurial mindset and spirit: we win as a team, we move fast and we get things done Proficiency in Microsoft Word, Excel and PowerPoint, Calendaring and Scheduling tools Experience in the hospitality industry welcomed but not necessary Fun, creative and fast-paced working environment Kitchen stocked with snacks & drinks Ho Chi Minh City Vietnam
