Responsibilities :
• Daily interact with physicians, hospital staff, patients, administrators, vendors and external agencies and businesses.
• Under general supervision, coordinates all administrative activities of the office and provides administrative and clerical support to the Medical Directors (3) and physicians (2) of Pediatric Neurology, and other specialty areas as necessary.
• Works with the Pediatric Neurology program team to coordinate administrative aspects and ensure the continuity of service for the internal and external customers.
• Establishes and maintains filing system and data base records for the office.
• At the direction of the Medical Directors and physicians researches, gathers, sorts compiles and organizes information from the files, from other departments and offices, from outside agencies, for special reports and information requests.
• Coordinate with physicians and representatives of the California Children’s Services to ensure complete and thorough... program and financial information is entered to ensure ongoing quality service.
• Prepares monthly physician coverage schedules and distributes to stakeholders to ensure appropriate coverage.
• Scanning documents required by assigned doctors and programs to maintain compliance with federal agencies.

Education Requirements:

High School Diploma/GED is required
Bachelor's Degree is preferred

Experience, skills, and abilities we are looking for:
• Minimum of 2 years of office and administrative experience required.
• Working knowledge/experience in grants, research, and budgeting is highly preferred.
• Ability to handle multiple demands and/or manage complex and competing priorities.
• Ability to work within tight timeframes and meet strict deadlines.
• Ability to demonstrate time management and priority setting skills.
• Ability to use software applications and operate technological devices (e.g.: computer, laptop, tablet, smartphone, etc).
• Ability to identify problems and resourcefulness to resolve them independently and on own initiative.
