ADMINISTRATIVE ASSISTANT ROLE
Responsible for overseeing all upkeep, preparation, etc. of all common areas of the office and all administrative tasks for the office.
This Includes, But Not Limited To Completing inventory sheet monthly & ordering necessary supplies. Meet... greet & welcome all guests at front reception area. Answer phones & transfer to whom appropriate or take detailed message. (must use yellow client intake form for clients) Check voicemail and mail daily. Distribute to responsible party. Change phone messages for holidays, team days, other closures, etc. Create & send Fed Ex, mail, etc. Keep common areas clean, tidy, organized and fully supplied and updated at all times Update magazines monthly Wipe all whiteboards after meetings. Snack/drink area supplied & clean. Front reception desk to be kept tidy, organized and no confidential documents left up there at any time. Upkeep and maintain compliance, licensing, training for all advisors. Plan travel for advisors. Responsible for calendar management for the office (HR). Print reports, calendars and agendas for team meetings. Upkeep & maintenance of Open Opportunity Reports. Debriefing with Advisors after every Prospect meeting, scan data into shared drive, input data entry to CRM, schedule any action items & assign to team members and send after meeting email to prospect. Empty shred bins weekly. Administrative duties such as filing, copying, faxing, scanning, and any other non-revenue generating tasks that need to be done. Personal errands and planning for CEO Planning of all Team Days & Volunteer days and group activities and coordinate with VP of Operations on budget Reports directly to VP of Operations and/or CEO Assist VP of Operations with the planning of Team incentive trips Assist Marketing team as they need help, set up for events & seminars
