JOB SUMMARY
Based in Moscow, this position is responsible of facilitating the smooth running of the office by overseeing the administrative activities, organising people, information and other resources.
The office manager provides a full-range of support from the Office head, to the local teams, but also to the People Partner team located in Germany.
The role also contributes and collaborates to global corporate initiatives that contribute to company success both internally and externally. This role crosses all business and is a coordinator of several functions.
THE TEAM :
Office Manager reports to Office Head based locally.
After full integration into the role, the Office Manager will have the possibility to supervise a team of Moscow based administrative assistants
Office Manager will also be working in coordination with other office managers and the People Partner from other offices on global and regional initiatives.

Must have experience in the below:
HR Administration
Providing HR-administration services support covering the whole employee life cycle/full coverage of the following document flow: new hires, terminations, transfers, promotions, leave of absence and the rest other HR administration functions, formation and maintenance of personal files of employees, preparing the employment contracts/addendum to the employees employment contracts/internal orders
Maintaining all records follow in accordance with the Russian Labor law
Liaising with service providers
Maintaining local databases (maintaining and updating employee files and Payroll data in 1C)
maintenance and storage of labor books;
supporting Administrative/HR Manager/People partner with local queries/requirements
Communication
assisting on interpretation and administration of HR/Internal policies,
maintaining employee boards with up-to-date information, keeping up with the policy.
Legal institutions cooperation preparing and providing reports to various state organizations
Payroll section responsibilities:
Preparing and providing all the payroll and HR-related data, Downloading to the «Cloudpay»:
New hires/promotions/terminations/salary changes/ etc.

Bonuses/commissions/benefits/allowances
Timesheets
Interaction with the payroll provider (Unistaff/Cloudpay) throughout the whole payroll cycle Verification of payroll calculation results (selective and HR-related) Uploading all the payroll reports, certificates and other documents from Cloudpay, interaction with the Chief Accountant Liaising with the Unistaff/Cloudpay on data check Interaction with employees on payroll process and issues
