We are looking for an Office Manager to join our team.
Responsibilities: Organizing office operations and procedures; Handle all operational aspects to ensure a smooth-running office; Effective daily management of Cash flows and Fiscal Invoicing; Maintain relationships with suppliers; Assist the management with operations and reporting; Keep Top management and colleagues informed about ongoing and upcoming events; Direct interaction with Chief Accountant... Officer, Chief Financial Officer, Chief Operational Officer;
Assisting colleagues from Accounting with their daily operations; Take care of daily correspondence and phone calls; Prepare internal orders, timesheets, statistics, reports and other required documents; Organizing the office layout and order stationery and equipment; Maintaining the office condition and arrange necessary repairs; Partnering with HR to update and maintain office policies as necessary; Coordinating with IT department on all office equipment; Ensuring that all items are invoiced and paid on time; Managing contract and price negotiations with office vendors, service providers, and office lease; Managing office G&A budget, ensure accurate and timely reporting (with a weak external accountant); Providing general support and protocol services to visitors; Preparing present sheets, ordering meal tickets, recording employees holiday requests and sickness absences; Addressing employees queries regarding office management issues (e.g. stationery, Hardware, and travel arrangements); Liaising with facility management vendors, including cleaning, catering, and security services; Planning in-house or off-site activities, like parties, celebrations, conferences, team-building, other events;
Skills: Knowing RM Legislation; Experience in international companies will be an advantage; Experience minimum 5+ years in Administrative, Accounting, Economical or Engineering field; Self-motivated and resourceful, with a proven ability to multi-task and operate successfully under tight deadlines; Effective verbal and written communication skills in English, Romanian, and Russian; Very effective organizational and problem-solving skills; Possess cultural awareness and sensitivity; Attention to detail and high level of accuracy; Problem solving skills, ability to multi-task; Effective verbal and written communication skills in Romanian, Russian and English; Professional knowledge of Microsoft Office (Word, Excel, PowerPoint).
