Administrative Assistant Casablanca Summary of the job:
To support the employees in Casablanca Office in tasks related to administrative, commercial and sales operations within J&J Morocco
Duties & Responsibilities Proactively champion communication of the administrative queries Timely and accurate management of internal meetings with the CD Assist the CD on business trips, expenses management and administrative tasks Manage administrative tools as of corporate cards and provide monthly statements to procurement for payment. Support sales, marketing and HEMAR on events as of: Ensure the pré-event with M&E agencies for presential or hybride events and liaise with appropriate departments for logistics Manage ICD contracts modifications and signature procedure with the team and follow up on signature status of the contracts. Manage administrative requests of sales, marketing and HEMAR teams Coordinate with procurement for POs-GRs-payment status Ensure the post-event with M&E agencies and coordinate... with the teams to finalize the event on a timely manner Manage the post-event for HCPs/GOs and support the teams on filling, assembling and providing supporting documents to the procurement for payment. Follow up on payment status of the HCPS/GOs Better understand iconnect , ICD and EMP processes and communicate changes to the teams. Consolidate COM Events and Paperwork required for HCP Payment at her/his end to initiate the HPR Process, similar to what Rachida is currently doing with the MAF Team. However, Sales Managers will remain accountable for the follow up on their events/Paperwork/Payment but the actual consolidation will be at the end of the admin assistant. Manage cycle meetings for com-marketing onsite. Manage the promotional materials in the office with facilities and archiving company recurrently.
Compliance Responsibilities Ensure safety reporting requirements (timely AE/PQC reporting) as set out in company policies and SOPs (Standard Operating Procedures) are met and, where applicable, appropriately managed when planning projects, developing materials, executing projects and contracting vendors Ensure HCC and legal requirements (Fair Market Value, Transfer of Value rules, Promotional Materials rules) are fully understood, appropriately managed and, where applicable, complied when planning projects, developing materials, executing projects and contracting vendors Ensure inspection readiness with respect to personal training compliance, and availability of recent CV and individualized Job Description
