Key Areas of Responsibility
The Program Manager Facility Management carries out a diverse set of activities ensuring smooth performance measuring and reporting of the global integrated facilities management agreement with two preferred global service providers: FM program management: frequent contact with FM demand managers (±20) and their counterparts from the IFM service providers on performance measurements, reporting activities and possible issues. Actively participate in internal Philips global program management calls and quarterly business reviews. Follow-up actions originating from these meetings. Financial management: Act as senior user and specialist related to the financial reporting tool (QlikView). Ensure timely financial reporting by the IFM service providers. Keep track of agreed financial parameters per location and signal abnormalities and deviations. Raise... them with the responsible FM demand manager and the service providers. Guide the Year-End-Closure and AOP activities related to the IFM service agreement. Training: Train the users / FM demand management community and key employees of the preferred suppliers in the FM framework and supporting tools. Space Management: act as the team manager for the Space Planners / AutoCAD drawers that are part of the GBS team. Train them on standards, tools and systems. Interact with the Real Estate Occupancy Planners, Project Manager and FM Demand Managers. Manage master data: Upkeep of IFM data such as agreed guaranteed savings, IW fees, Management Fee, Overhead and Organization Cost per location. Manage access rights of Real Estate colleagues and external employees of the preferred supplier related to QlikView and SharePoint (and removing those who left the account). Code_1 ID management of the external employees that have a Philips email addresses. Onboarding of external employees on the tools with standardized trainings / videos Quality checks related to the IFM documentation completion such as SLAs, KPIs proper reporting, contract changes etc.
This role is part of Philips GBS but specifically targeted at supporting Philips Real Estate. Philips Real Estate (PRE) is a global enabling function with over 100 employees. The Real Estate team carries a worldwide responsibility for all company real estate and facility management related services. You will actively work with the Head of Real Estate Operations & Facility Management, the IMS global commodity lead for FM and the FM Demand Managers based in the regions.
You should have the following skills and experience At least 5 years of business experience, handling complex performance reporting in cross-functional organizations and/or environments Service management experience is an advantage Understanding of SLAs and KPIs and how to drive positive business impact through the services Experience with online tooling such as QlikView / SharePoint or comparable software tools would be advantageous Lean methodology basic knowledge Passionate about customers and a service mentality Strong financial acumen and analytical skills
