Administrative Assistant – Special Project (Based on Funding) Gananoque
This position will focus on administrative responsibilities related to all components of a Special Project including the management of the client and employer information, and Ministry forms necessary for the reporting to MLTSD. The duties will include taking minutes, data entry, file management, and financial documentation. The Administrative Assistant will also act as a support to the Project Coordinator and assist with various aspects of the Project including social media outreach.
This position requires a thorough knowledge of the administrative guidelines as well as an understanding of the EO?IS system and various internal management tools. There will be contact and liaison with employers as it relates to placement reimbursement or claims. The Administrative Assistant will begin by working closely with the Project Coordinator by bringing together an Advisory Working Group, which will help to shape the training and develop the social media campaign.
Competencies Required
a... Administrative/Clerical experience in the context of the employment preparation process
b. Thorough knowledge of funding parameters, eligibility criteria, KEYS programs, MTCU reporting
guidelines and file maintenance protocols.
c. Excellent administrative and organizational skills; strong computer skills; knowledge of a variety
of software programs.
d. Experience working with advisory committees and in multiple partnerships and taking minutes
e. Experience managing a project with multiple deliverables and timelines
f. Detail and task oriented with demonstrated self?management and time?management skills
g. Experience in social media outreach including Facebook, Instagram, etc.
h. Ability to interact with community partners and other service providers
i. Ability to work and communicate effectively within a team environment
j. Ability to promote confidentiality as a norm
k. Must possess strong interpersonal skills; active listening and decision?making skills
l. Must treat all individuals with equal respect and interact in a tactful, supportive, professional
manner;
m. Good understanding of the local labour market and the needs of employers
Qualifications:
a. Post?secondary education preferably in Community Development, Administrative Programs,
Marketing or combination of education and relevant work experience
b. Demonstrated project management and event planning experience
c. Strong marketing and presentation skills
d. Excellent communication skills
e. Proficiency in English. French proficiency will be considered an asset.
f. Must possess a valid driver's licence, proof of adequate insurance and a reliable vehicle.
Work Environment (Equipment, Demands and Hazards)
a. Office setting in Gananoque with occasional travel to off?site locations
b. Professional appearance is required; casual business attire.
c. 21 hours per week with occasional early morning or evening activities
d. Must possess a valid driver's licence, proof of adequate insurance and a reliable vehicle.
